CASE STUDY — 01 A Household Preparing for an Estate Handover

SITUATION

An adult child had inherited responsibility for a parent's papers. Documents were stored in multiple locations — some in binders, some loose, some digital, with no index connecting them. They needed a way to locate items quickly without going through everything each time.

WHAT WAS DONE

We ran a Family Records Session, building a handwritten index of categories and storage locations. Dividers were labelled, copies were flagged for a second location, and a short reference note was prepared so another family member could find items independently.

OUTCOME

By the end of the session, all documents had an assigned location in the index. The family reported that a subsequent search for a property document — which had previously taken an hour — took under five minutes. A yearly review date was set for the following August.

CASE STUDY — 02 A Brokerage Team Standardising Transaction Files

SITUATION

A brokerage of nine agents had grown quickly and each agent organised transaction documents differently. Handovers between agents caused delays because incoming agents had to decipher folder structures they hadn't set up. The team had previously used ad hoc checklists, which varied by agent.

WHAT WAS DONE

We ran the Property Paperwork Checklist Programme over three weeks. The planning call identified the four transaction types the team handled most often. A shared folder structure and per-transaction checklist were created. A training session ensured everyone applied the same steps. A review session followed the first live use.

OUTCOME

Within the first month, the team reported that file handovers required noticeably less back-and-forth. The manager estimated that the checklist reduced questions between agents by roughly 60% for standard transactions. The 45-day follow-up window addressed two edge cases that hadn't been covered initially.

CASE STUDY — 03 A Community Group Learning Estate Document Vocabulary

SITUATION

A community resource centre wanted to offer an educational programme for older adult members who were beginning to encounter estate and property documents. Participants had varied backgrounds and no prior exposure to legal vocabulary. The centre had tried distributing pamphlets previously with limited success.

WHAT WAS DONE

We delivered the Estate Terminology Information Series across four 75-minute sessions. Each part addressed a distinct vocabulary area: common document terms, numbering and dating conventions, record custodianship, and public registry organisation. Fictional case examples kept content grounded. The cumulative glossary was distributed in print and digital form.

OUTCOME

Seventeen participants completed all four sessions. Post-series feedback indicated that 14 of them felt noticeably more comfortable reading estate documents independently. Three participants used the replay access to revisit the third session. The centre has since booked a second run for a new group.
